Privacy Policy

How we collect, use, protect, and manage personal data for children and families we support.

Effective date: 31 March 2026. This policy is designed for UAE operations and should be reviewed periodically as laws and services evolve.

This page provides general policy language and does not replace independent legal advice for your specific circumstances.

1. Scope and Legal Basis

This Privacy Policy applies to personal data processed by Special Minds in relation to centre-based and home-based support services, consultations, tutoring, therapy coordination, and related parent communications.

We process personal data in accordance with applicable UAE laws, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL), its implementing decisions where applicable, and other relevant health, child-protection, consumer, and civil legislation.

By using our website or services, you acknowledge this policy and consent to the processing described here where consent is required.

2. Data We Collect

Parent or guardian data: name, contact details, relationship to child, billing information, preferred communication channel, and service preferences.

Child data: age, developmental and educational history, support needs, behavioural observations, session notes, progress records, and school-related information shared by guardians.

Technical data: IP address, browser type, basic analytics, cookies, and website interaction logs used for security and site performance.

Sensitive data may include health or developmental information. We handle this only to deliver services safely and effectively.

3. Why We Use Data

To assess needs, plan and deliver support services, and monitor educational and behavioural progress.

To communicate with parents, schedule sessions, issue invoices, and maintain service records.

To maintain safety, quality assurance, legal compliance, risk management, and safeguarding obligations.

To improve our programs through aggregate, non-identifiable service analysis.

4. Lawful Processing and Consent

Where required, we obtain explicit guardian consent before collecting or processing child-related sensitive data.

You may withdraw consent for non-mandatory processing by contacting us. Withdrawal does not affect processing performed before withdrawal and may affect our ability to continue certain services.

We may process data without additional consent where legally required, contractually necessary, or needed to protect vital interests of the child.

5. Data Sharing

We do not sell personal data.

We may share data with authorized staff, licensed professionals, payment providers, IT service providers, and legal or regulatory authorities where required.

Where school collaboration is requested, we share only information necessary for agreed educational objectives and typically with guardian authorization.

6. International Transfers

If service providers process data outside the UAE, we implement contractual and technical safeguards appropriate to the sensitivity of the information and legal requirements.

By using our services, you acknowledge that such transfers may occur where operationally necessary and protected.

7. Retention

We retain data only for as long as reasonably necessary for service delivery, safeguarding, legal compliance, accounting, dispute resolution, and audit requirements.

Retention periods vary by record type and legal obligation. At the end of retention periods, data is deleted, anonymized, or securely archived as required.

8. Security

We apply administrative, technical, and physical safeguards proportionate to the data we process, including access controls, confidentiality obligations, and secure systems.

No system is completely risk-free. If a material data incident occurs, we will follow applicable legal notification requirements.

9. Your Rights

Subject to applicable law, you may request access, correction, update, deletion, restriction, objection, or portability of personal data.

Requests must be submitted by the parent or legal guardian with sufficient identity verification. We may decline or limit requests where legal exceptions apply.

10. Children and Guardian Responsibility

Our services are arranged by parents or legal guardians. Guardians are responsible for providing accurate information and for obtaining any necessary consents from other legal custodians where applicable.

We do not knowingly collect child personal data directly from children through this website without guardian involvement.

11. Cookies and Site Tracking

We may use cookies and similar technologies to support site functionality, security, and analytics.

You can manage cookies through browser settings; disabling some cookies may affect website performance.

12. Contact and Complaints
